Request for Proposals to Present at the 49th American Horticultural Therapy Association Annual Conference

The past few years have presented us with opportunities to learn new ways to stay connected, challenged us to create innovative ways to deliver our services, and reminded us of the importance of plants in our lives.  As horticultural therapists and allied health practitioners, we understand the importance of networking with our peers. This year’s conference will bring together people from diverse backgrounds, regions, countries, and organizations to share ideas, successes, and personal experiences.

We invite individuals from the horticultural therapy community and allied health professionals to propose sessions and interactive workshops in the following areas:

  • New methods and techniques to deliver horticultural therapy services during a pandemic.  
  • Marketing and capitalizing on the heightened public awareness of the people/plant connection.
  • Design and development of therapeutic gardens ensuring accessibility to diverse populations and communities.
  • Current research advancing the practice of horticultural therapy.
  • Partnerships and collaboration for long-term sustainability of both program and profession.
  • Integrating climate change awareness into horticultural therapy practice.

Presenters will be selected from proposals submitted in response to this Request for Proposals by a peer review panel. Submissions must include all information requested. Please note: biographical information requested MUST be in the format described within “Proposal Submission Guidelines.” 

  • Please submit your proposal online by March 18, 2022. 
  • Notification of decisions will be sent by April 15, 2022.

Audio Visual Needs:

  • AHTA will provide a screen, projector, speakers for audio, and podium with microphone(s). 
  • Presenters are required to bring their own laptops. AHTA will provide PC adapters and wireless advancers.
  • Presenters using MAC/Apple products should bring the appropriate dongle to connect to a 12 pin (standard) LCD projector. 

Additional Information:

  • Presenters are required to register for the conference and will receive a discounted rate.
  • Presenters are required to provide their own handouts. Handouts can be posted on a secure AHTA site for attendees to download prior to the conference. If printed handouts are preferred, copies must be provided by the presenter.

Online Proposal Submission Guidelines

Please read thoroughly prior to beginning your online submission. This document is intended to be used as a helpful guideline in preparing your proposal.

Session Content (all required unless otherwise noted):

  • Title of proposed session
  • A brief description of the session: Limit 30 words. If your proposal is accepted, this will be inserted into the printed conference program to describe your session.
  • Briefly explain why this session should be at the AHTA Annual Conference. Indicate where and when this presentation was previously given (if applicable). 
  • Session content and methodology: Please be brief - yet thorough and descriptive.
  • Learning outcomes: Three learning outcomes should be provided that are measurable and indicate what the audience will learn by participating in this session. State, for example: “At the end of this session, participants will be able to . . . “
  • The audience skill level of a session: Basic / Intermediate / Advanced

Session Formats:

  • Workshop/Interactive: 90 min. Facilitator(s) lead the participants in an interactive discussion, skill-building, or hands-on workshop.
  • Lecture/PowerPoint presentation: 60 min. A single presenter who facilitates a focused presentation on a particular topic, program, or organization.
  • Roundtable Discussion: 60 min. Moderator leads and guides a participatory discussion with participants on a particular topic or population. Rooms will be set for round tables of up to eight chairs per table.
  • Poster Presentations: Display a poster of an academic research project or of a horticultural therapy program. Posters will be displayed continuously during the conference. At a dedicated session, poster authors will be available to answer questions and discuss their work. More information on recommended poster format can be found here.

Please note that the 60/90 minute formats may also include a Q&A portion. Rooms will be assigned based on your presentation type and preferred room setup. Please note that all sessions will be limited only to the maximum number of attendees a room can hold.

Room setup:

  • Banquet round tables (holds up to 50-60)
  • Theater-style: Chairs with no tables (holds up to 50-70)
  • Classroom style: Rectangular tables with chairs (holds up to 40)

Speaker Information:

  • This conference is scheduled to be offered in person. If the format needs to be re-evaluated, speakers will be notified in order to make presentation delivery adjustments. Do you agree to provide a virtual presentation if necessary?
  • For printed program: A biographical summary (30 words maximum) with professional credentials for each participant, highlighting competency in the subject matter. Note that you must have a biography for at least one speaker when submitting your proposal. All others may be submitted at a later date if necessary.
  • (Optional) For online program/email marketing: A biographical summary (100 words maximum) with professional credentials for each participant, highlighting competency in the subject matter. Please do not send a resumé in place of the summary. 
  • Accepted presentations shall be posted, with the authors’ permission, on the AHTA website for attendees to access following the conference.

Poster Presentations:

  • Posters will be displayed continuously during the 2022 AHTA conference.
  • Poster space: A space 0.9 x 1.5 m (35.43” X 59.06” so 3’ x 5’) (W x H) is available for each poster. Other: 110 cm (43 inches) wide x 140 cm (55 inches) high.
  • Program number of abstract, title, author, and organization: Abstract numbers, titles, names, and organizations should appear on the top of the poster. A simple sans serif-face font (e.g., Arial) should be used. Lettering for the abstract number and title should be at least 1 inch. The authors' names and organizations may be slightly smaller.
  • Content: Do not prepare a poster as if it were a manuscript. Primarily use tables and figures and limit the volume of text. Details of the work can be provided in scheduled discussions with interested parties. Lettering for text and illustrations should range in size between 10 mm and 15 mm.
  • Mounting the poster: A poster board will be provided for each poster. Pushpins or Velcro buttons may be used. Pins/Velcro must be supplied by presenter--they will not be available on-site.

Poster Tips:

  • Determine the one essential concept you would like to get across to the audience.
  • A poster is essentially a visual presentation, try to find ways to show what was done - use schematic diagrams, arrows, and other strategies to direct the visual attention of the viewer, rather than explaining it all using text alone.
  • Design the poster to address one central question. State the question clearly in the poster, and then use your discussion time with individuals to explain that central theme.
  • Provide an explicit take-home message.
  • Summarize implications and conclusions briefly, and in user-friendly language.
  • Give credit where it is due. Have an acknowledgments section, in smaller size type (14 - 18 point), where you acknowledge contributors and funding organizations.

Proposals will only be accepted via the online submission form. The form cannot save data; be prepared to fully answer all questions above at the time of submission.  Proposal submissions will not be accepted by email.
